Onsite Events & Hybrid Events
1.1 Application & Registration
- Application Processing: Your application will be processed upon receipt of the signed registration form.
- Confirmation and Invoice: You will receive a registration confirmation and invoice within one business day.
- Payment Deadline: Payment is due within 10 days from the date of invoice issuance.
- Late Payment Fee: A fee of €50 will be applied for each missed 10 days.
- Payment Methods: Payment can be made via bank transfer or credit card.
- Full Payment Requirement: Full payment must be received before the event date.
- Inclusions: The registration fee includes full access to the event, presentation slides if available, and any post-event recordings if available.
- Exclusions: Travel and hotel accommodation are not included in the registration fee if these were not purchased through VNA International.
- Additional Charges: VNA International is not responsible for any additional bank charges related to payment.
1.2 Substitutions and Cancellations
- Delegate Replacement: Event passes can be transferred or substituted to another registered participant with no additional fees.
- Unforeseen circumstances: If unable to attend due to illness or unforeseen circumstances, the delegate pass can be transferred with no additional fees to another event occurring within one year of the event date.
- Cancellation Policy:
- Cancellation 30 days or more before the event start date: 50% refund of the registration fee.
- Cancellation within 30 days of the event: No refund.
1.3 Event Changes & Refunds
- Event Changes: VNA International reserves the right to change the date, location, or program, or merge the event with others if necessary, without penalty.
- Refunds:
- Permanent event cancellation without rescheduling or merging: Attendees receive either a credit note or 100% refund of the conference fee.
- Refunds are processed within 30 business days.
- No refunds are provided for accommodation, travel, or other related expenses.
1.4 Travel & Visa Responsibilities
- Airline Changes: VNA International is not responsible for cancellations, reschedules, or delays initiated by airlines.
- Visa Requirements: Attendees are responsible for obtaining visas or travel documents. VNA International cannot assist with visa approvals and is not liable for delays or refusals.
- Other Responsibilities: Attendees must comply with airline and hotel requirements, local regulations, and check-in times.
1.5 Recording & Privacy Policy
Sharing of event recordings or materials is strictly prohibited unless explicitly authorized, due to privacy and confidentiality concerns.
1.6 Events Beyond Control
VNA International is not responsible for cancellations or disruptions caused by circumstances beyond its control, including but not limited to natural disasters, strikes, or government restrictions.

- Access Instructions: Participants will receive instructions on how to join the webinar two days before the event.
- Single User Policy: Each webinar subscription is for personal use only and cannot be shared.

- VNA International may modify dates, locations, or programs or merge events if necessary, without penalty.
- Attendees will be notified of changes promptly.
3.2 Refunds
- Permanent cancellations without rescheduling or merging: Eligible attendees receive either a credit note or full refund.
- Refunds are processed within 30 business days.
- No refunds for travel, accommodation, or other expenses related to the event.
3.3 Responsibility & Liability
- VNA International is not liable for disruptions caused by circumstances beyond its control, including but not limited to natural disasters, strikes, or government restrictions.
- Attendees are responsible for compliance with all airline, hotel, and local regulations, including travel documents.
